Supervisor, Distribution Services

Come Find your Spark at Quartz! The Supervisor, Distribution Services position will be responsible for supervising the day-to-day functions of the Distribution Services Department. As the Supervisor, Distribution Services, this position will regularly apply the following skills:

• Engage with internal customers to ensure the team meets their needs through effective customer outreach.
• Demonstrate leadership by actively assisting with daily tasks as required and fostering team engagement to ensure adequate support and resource availability for effective team performance.
• Ask questions to understand how things work to identify opportunities for process improvement.
• Attention to detail to approve invoices and oversee the department budget.
• Open to change and champion to lead the team through changes as the occur.
• Oral and written Communication skills – regular communication with team and main point of contact for the department across the organization.

Supervise activities of the Distribution Services department and staff which includes but is not limited to:

• Delivery of all outbound correspondence to internal and external customers.
• Claims preparation, verification of data entry, keying of member information, scanning and profiling, mail services, and fulfillment functions ensuring that proper procedures are followed.
• Select, develop, motivate, train, and retain competent, and engaged staff. Provide opportunities for professional development, recognize achievements, and manage performance and disciplinary processes as required.
• Ensure an appropriate distribution of the workload amongst staff members. Maintain complete and appropriate staffing to meet company goals. Ensure appropriate and clear direction.
• Identify and implement opportunities to enhance effectiveness and efficiency and increase engagement of staff.
• Supervise performance of external vendor contracts and ensure performance is being met. Conduct regular site visits of vendors that have facilities in the area and provide both formal and informal feedback through vendor scorecards and regular touch base meetings and communications.

• Associate’s degree with 3 years of experience in customer service, distribution, enrollment, provider records, benefit plans or claims processing
• OR High school equivalency with 6 years of experience in customer service, distribution, enrollment, provider records, benefit plans or claims processing
• Prior Team lead experience
• Proficient knowledge of computer software applications
• Excellent verbal and written communication skills including the ability to interact with internal and external staff
• Ability to schedule and coordinate department activities, identify training needs, and effectively respond to changes in the work environment
• Tact, integrity, flexibility, problem solving capability

This position will work in-person at our office located in Madison, WI.
